Event Planning

  • Establish event objectives and targets.
  • Work with client to determine the location, parameters, policies and procedures for event(s).
  • Establish overall event budget with clients.
  • Prepare and execute a plan which meets the defined needs and values.
  • Assist in key decisions related to event design, financial management, and contingencies.
  • Ensure appropriate consent forms are received from parents or guardians for participants who are under the age of 18 years
  • Coordinate guests/participants registration procedures.
  • Arrange for the production, printing, and distribution of related material.
  • Collate and distribute conference kits.
  • Prepare name badges.
  • Develop Health and Safety Plan for each event.
  • Develop floor plans.
  • Other, depending on circumstance and need.

 Risk Management / Health and Safety

  • Provide a detailed risk management and Health and safety plan during the early planning stages of the event, overseeing and modifying the plan as necessary during events, and updating the plan as required throughout the duration of the project.
  • Ensure crisis management is included as part of the planning activities, including identification of potential crisis situations.
  • Should there be a crisis during the event, leverage resources, to manage the situation taking into consideration participant safety and organizational reputation.

 Transportation (Ground, Air)

  • Coordinate commercial or chartered air transportation including group check-ins and boarding assistance.
  • Coordinate ground transportation (rental cars, vans, buses, trains, shuttles, taxis, etc.).
  • Send travel itinerary, including emergency contacts to clients at least one week prior to travel.
  • Ensure that special needs requests or any concerns are addressed pre-travel/booking.
  • Book seats, meals, facilities, and related services for transportation;

Accommodations

  • Block guest rooms at selected hotels.
  • Manage room assignments.
  • Provide information and instructions to guests.
  • Coordinate final rooming lists with hotels.

Venue and On-site Coordination services.

  • Book venue for the event.
  • Conduct space planning, layouts and staging.
  • Arrange for venue accoutrements (podiums, decorations, banners, tables, chairs, tents, etc);
  • Plan and manage audiovisual and technology requirements.
  • Coordinate speakers / presenters / facilitators, security staff, audio-visual technicians, photographer/videographer.
  • Manage hospitality, food and beverage.
  • Ensure Health and Safety Plan is fully implemented.

Post-Event Reporting and Billing

  • Prepare final report and feedback for the event.
  • Detailed Billing including expense reports.
